We are looking for an Administrative Coordinator to join our International Regulatory & Commercialization Law Team in Munich, Germany. In this role, you will provide high-level administrative, logistical, and coordination support to attorneys and cross-functional partners. You will play an important part in keeping the team organized and connected, supporting activities ranging from travel and meeting coordination to vendor onboarding, budget tracking, correspondence, and departmental calendars. When & where: Location: Munich, Germany Discover your role: Provide general administrative support, including filing, data entry, and office management activities. Manage travel arrangements, expense planning, and reporting for team members. Coordinate purchasing and onboarding of new law firms and external vendors. Plan special events and in-person meetings for the international legal team, including logistics across different time zones. Support team meetings, including preparation of materials and meeting minutes. Manage team schedules, meetings, and departmental calendars. Facilitate communication between team members and colleagues in the New York home office. Maintain and update contact lists for key external counsel and other stakeholders. Support special projects, including the review of legal documents under the direction of an attorney. Draft correspondence, reports, and presentations, support budget and spend analysis, and maintain critical team files. This role requires: A Bachelor’s degree or 5 years of equivalent experience in lieu of a degree. A minimum of 5 years of relevant experience. Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines. Excellent attention to detail and strong written and verbal communication skills. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Ability to coordinate meetings, events, travel arrangements, and expense reporting accurately. Strong interpersonal skills and the ability to collaborate effectively with internal teams and external vendors. Ability to maintain confidentiality and handle sensitive information professionally.
