Privacy Policy

How Resume Refiner collects, uses, discloses, and retains personal information in its U.S. web and Android services.

Scope and contact

This Privacy Policy applies to the Resume Refiner website, web application, and Android application (together, the "Service"). Resume Refiner ("Resume Refiner," "we," "us," or "our") is responsible for the personal information described here. It does not cover an employer, job board, payment page, app store, or other third-party service you visit through a link.

Questions and privacy requests may be sent to info@resumerefiner.online. Please include "Privacy Request" in the subject line. This policy is intended for people in the United States.

Personal information we collect

Depending on how you use the Service, we may collect the following categories of personal information:

Identifiers and account information: email address, name, job title, account ID, password hash, authentication tokens, and password-reset information.
Profile and contact information: phone number, location, LinkedIn URL, and other contact details you choose to save.
Professional and education information: resumes, work history, education, skills, credentials, job preferences, job descriptions, and the contents of uploaded or pasted documents.
Generated content and inferences: refined resumes, cover letters, job matches, and suggestions generated from the information you provide.
Job-search activity: searches, alerts, and jobs you save, dismiss, or mark as applied.
Commercial information: plan, subscription status, Stripe customer and subscription references, and transaction-related records. Stripe processes payment-card details; we do not receive or store your full card number.
Internet, device, and usage information: IP address, browser or device information, session data, pages and features used, dates and times, and diagnostic, security, and server-log information.
Approximate location: city, region, and country inferred from your IP address. We do not request precise GPS location.
Communications: feedback, support requests, and emails you send to us.

A resume may contain information that some U.S. state laws treat as sensitive, such as racial or ethnic origin, disability information, citizenship or immigration status, or account credentials. We do not require you to include sensitive information in a resume. Please omit information that is unnecessary for your use of the Service.

Sources of information

We collect information directly from you when you register, complete a profile, upload or create documents, search for jobs, purchase a plan, or contact us. We collect device, network, and usage information automatically when you use the Service. We may also receive information from service providers and third parties, including Stripe, job-listing sources, and IP-location providers, and create AI output or job matches from information you submit.

The Android app stores an authentication token, profile, resumes, and cover letters locally on your device so it can sync and support offline use. Resume Refiner disables Android backup and device-transfer backup for this app data.

How we use information

We use personal information to:

create and secure accounts, authenticate users, and synchronize web and Android data;
parse, store, refine, format, and export resumes and cover letters;
generate AI-assisted content and find, rank, and display job listings;
save job activity, deliver job alerts you enable, and send service communications;
provide subscriptions, apply plan limits, process transactions, and maintain billing records;
answer feedback and support requests;
detect abuse, protect accounts, troubleshoot, analyze performance, and improve the Service; and
comply with law, enforce our Terms, and establish, exercise, or defend legal claims.

We do not use resume content to serve you targeted advertising, and we do not use sensitive personal information to infer characteristics about you beyond providing the features you request.

AI processing and automated features

When you request a resume refinement, cover letter, or AI-assisted job search, the relevant resume text, job description, preferences, and instructions are sent to OpenAI to generate a response. The web service sends these requests through our server; the Android app may send them directly from your device. OpenAI processes this information under its applicable terms and privacy commitments.

We do not use your documents to train our own AI model. AI output and job matching can be inaccurate, incomplete, or biased. Resume Refiner does not make hiring decisions and does not use automated processing to make decisions that produce legal or similarly significant effects about you. Review all output before relying on it or sending it to an employer.

How we disclose information

We disclose personal information for the business purposes described above to these categories of recipients:

Infrastructure providers: Render for hosting and MongoDB for database services.
AI provider: OpenAI for requested generation and search features.
Payment provider: Stripe for checkout, subscription management, invoices, fraud prevention, and payment records.
Email provider: Resend for password resets, receipts, job alerts, and other service messages.
Analytics and content providers: Google Analytics, Google Fonts, and jsDelivr, which may receive device, usage, IP-address, and request information when their resources are used.
IP-location providers: ipapi.co, ipwho.is, and ipinfo.io, which receive an IP address to return an approximate location.
Job-listing providers: sources such as Adzuna receive search criteria needed to return listings. Opening or applying to a listing sends information directly to the destination site under its own privacy policy.
Mobile ecosystem and configuration providers: Google Play and Android services used to distribute and operate the app, and Pastebin when the Android app retrieves configuration information. These providers may receive ordinary device and network request data.
Professional advisers and authorities: where reasonably necessary to comply with law, respond to lawful process, prevent harm or fraud, enforce agreements, or protect rights and safety.
Business transaction recipients: in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the business, subject to appropriate safeguards.

We may also disclose information at your direction or with your consent. Service providers may retain information under their own legal and operational requirements.

Cookies and tracking choices

The web service uses a necessary session cookie named rr.sid to keep you signed in, secure forms, and maintain account state. It normally expires after seven days. If analytics is enabled in production, Google Analytics uses cookies or similar technology to measure traffic and feature use. Blocking the necessary session cookie may prevent sign-in and account features.

You can limit optional cookies with browser controls or use Google’s Analytics opt-out tools. Our Service does not currently respond to the browser’s legacy "Do Not Track" setting because there is no consistent industry standard for that signal. Because we do not sell personal information or use it for targeted advertising, Global Privacy Control signals do not change those practices. Third-party sites linked from the Service may track you under their own policies.

Retention and deletion

We retain information only for as long as reasonably necessary for the purposes described here, including these general periods:

Account, profile, saved document, job-alert, and job-activity information is generally kept while your account is active.
Uploaded files are held in memory while they are parsed. Temporary parsing files, when needed, are scheduled for deletion after parsing. Extracted or structured content is saved when you choose to save or use it.
Usage events used for plan limits are configured to expire after about 60 days.
Web sessions normally expire after seven days, Android authentication tokens after 30 days, and password-reset links after one hour.
Feedback, security logs, transaction records, and provider records are retained as reasonably needed for support, security, accounting, fraud prevention, dispute resolution, and legal compliance.
Android data remains on your device until you sign out, delete your account, clear app data, or uninstall the app. The app is configured to exclude that data from Android backup and device transfer.

You can delete your account from the Profile screen. A completed deletion cancels active subscriptions; deletes your account, profile, saved resumes, cover letters, AI generation jobs, job alerts, job activity, and usage records; invalidates stored sessions; and clears the Android app’s local copy when deletion is initiated there. Records may remain temporarily in backups or with service providers, and limited security, billing, transaction, or legal records may be retained where permitted. U.S. state privacy rights

Depending on your state and whether the applicable law covers Resume Refiner, you may have rights to know or access personal information; obtain a portable copy; correct inaccuracies; delete information; and opt out of a sale, targeted advertising, or certain profiling. Some states also provide rights concerning sensitive information and the right to appeal a denied request.

Submit a request to info@resumerefiner.online from the email associated with your account and describe the right you wish to exercise. You may also delete your account through the Profile screen. We will verify requests by matching information associated with your account and may ask for additional information when reasonably necessary. An authorized agent may submit a request where state law permits, but we may require proof of authority and identity verification. To appeal a decision, reply to our response with "Privacy Appeal."

We will respond within the period required by applicable law. We will not discriminate against you for exercising a privacy right, although deleting information may prevent us from providing account features. If we cannot fulfill a request, we will explain why, subject to legal restrictions.

California disclosures

For purposes of California privacy law, the categories collected during the preceding 12 months are described in "Personal information we collect": identifiers; customer-record and contact information; commercial information; internet or electronic-network activity; approximate geolocation; professional or employment information; education information; communications; and inferences. We collect them from the sources, use them for the purposes, and disclose them to the recipients described above. We do not offer a financial incentive in exchange for personal information.

California’s "Shine the Light" law permits eligible residents to request information about disclosure of personal information to third parties for those parties’ own direct-marketing purposes. We do not make those disclosures. California residents may contact info@resumerefiner.online with questions or requests.

Security

We use safeguards designed to protect personal information, including encrypted network connections, password hashing, access controls, secure web-cookie settings, and file-type and size limits. No method of storage or transmission is completely secure. Use a strong, unique password, protect your device, and notify us if you suspect unauthorized account access.

Children

The Service is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from a child under 13. If you believe a child under 13 has provided personal information, contact info@resumerefiner.online so we can investigate and delete it as required by law.

Changes to this policy

We may update this policy as the Service or law changes. We will post the revised policy here and change the "Last updated" date. If a change materially affects how we use information already collected, we will provide additional notice when required by law.
