Privacy Policy
How Resume Refiner collects, uses, and protects the information you share while searching for jobs and refining application documents.
Overview
Resume Refiner ("we", "us") provides a web app at resumerefiner.online and an Android app that help you find jobs and tailor resumes and cover letters. This policy explains what we collect, why, and the choices you have. Questions can be sent to info@resumerefiner.online.
Information we collect
- Account details: your email address, name, job title, and a securely hashed password. We never store your password in plain text.
- Career documents: resumes you upload, paste, or build; job descriptions you provide; and the refined resumes and cover letters generated for you.
- Contact details you add to documents: such as phone number, location, and LinkedIn URL.
- Job search activity: job alerts you create, jobs you save, dismiss, or mark as applied.
- Usage and device data: feature usage used to apply plan limits, IP address, and an approximate city/region derived from it for security and account activity records.
- Billing data: if you upgrade, payments are processed by Stripe. We receive your subscription status and a customer reference, not your full card number.
How we use information
- To provide the service: refining resumes, generating cover letters, exporting files, and matching you with job listings.
- To operate your account, enforce plan limits, and process subscriptions.
- To send account emails such as password resets, purchase confirmations, and job alerts you enable.
- To protect the service against abuse and to understand how features are used so we can improve them.
We do not sell your personal information, and we do not use your resume content to advertise to you.
AI processing
When you request a refinement, cover letter, or AI job search, the relevant resume text and job details are sent to our AI provider (OpenAI) to generate the result. Generated content is returned to you for review; always check it before using it in an application.
Service providers
We share information only with providers that help us run Resume Refiner, under their own privacy and security terms:
- Hosting and databases (Render and MongoDB).
- AI generation (OpenAI).
- Payments (Stripe).
- Transactional email (Resend).
- Job listing sources and APIs, which receive search terms but not your resume.
- IP geolocation lookups (ipapi.co and ipwho.is), which receive your IP address.
- Analytics (Google Analytics), which receives anonymized page usage data.
We may also disclose information when required by law or to protect the rights and safety of our users and service.
Retention and deletion
We keep your account and documents while your account is active. Usage records used for plan limits expire automatically after about 60 days. You can delete your account at any time from your Profile page; this removes your account, saved resumes, and cover letters, and cancels any active subscription. To request removal of any remaining data, such as job alerts, contact info@resumerefiner.online.
Your choices and rights
You can view and edit your profile and documents in the app, export your documents, turn job-alert emails on or off, and delete your account. Depending on where you live, you may have additional rights to access, correct, or delete your personal information. Contact info@resumerefiner.online and we will respond within a reasonable time.
Security
We use encrypted connections, hashed passwords, and access controls to protect your information. No online service can guarantee absolute security, so please use a strong, unique password.
Children
Resume Refiner is not directed to children under 16, and we do not knowingly collect their personal information.
Changes to this policy
We may update this policy as the service changes. We will post the new version on this page and update the date above. Material changes will be highlighted in the app or by email.
